We're seeking a highly organized and detail-oriented Temporary Office Manager to join the team, serving as the crucial "Director of First Impressions" at our front desk. You will ensure that office operations run smoothly and efficiently for 1-3 months , with the potential for extension or to become a permanent position. This is a 100% onsite position (San Diego CA 92122) .

What You'll Do:

  • Administrative Oversight: Skillfully manage calendars, schedule meetings, coordinate travel, and prepare essential reports and correspondence, maintaining confidential files with precision.
  • Office Operations: Oversee all aspects of office functionality, including managing supplies, coordinating equipment maintenance, liaising with vendors, and ensuring a consistently clean, safe, and functional workspace.
  • Budget & Finance Support: Track and reconcile office expenses, playing a key role in financial organization.
  • People & Culture Support: Facilitate a positive work environment by supporting new employee onboarding (desk set up, badges, IT coordination), coordinating engaging employee events and celebrations, assisting with company-wide communications, and supporting health and safety compliance.
  • Front Desk Management: Serve as the welcoming face of our company, greeting and directing visitors, efficiently managing incoming calls, and handling mail and package distribution.
  • Visitor & Meeting Coordination: Maintain visitor logs, issue temporary badges, notify staff of guest arrivals, and ensure meeting rooms are impeccably prepared.
  • Customer Service: Act as a primary point of contact, handling inquiries from clients, vendors, and employees with professionalism and providing general assistance as needed.
  • Security & Access: Monitor building access and coordinate security protocols, including access cards, to maintain a secure environment.

Optional or Organization-Specific Duties:

  • Provide executive assistant support to leadership.
  • Support remote team logistics and virtual meeting technology.

Qualifications:

  • High School Diploma required.
  • 2+ years of experience in office management or receptionist role.
  • Demonstrated experience in customer service.
  • Proven ability to plan and organize catering events for 100+ people.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional attention to detail and strong organizational and communication skills.

As required by local law, Suna Solutions provides a reasonable pay scale to include the hourly or salary range that Suna Solutions reasonably expects to pay for roles that may be hired in California, Colorado, New York City or Washington as set forth below.
