What you’ll be doing:

We are seeking a detail-oriented and proactive Equipment Project Coordinator to support the planning, procurement, and installation of car wash equipment across multiple project sites. The ideal candidate will coordinate closely with internal teams, equipment vendors, contractors, and clients to ensure timely and accurate delivery and setup of equipment for new builds and retrofits.

  • Project Coordination:
  • Assist in managing end-to-end project timelines from equipment specification to installation.
  • Support multiple concurrent car wash development projects ensuring milestones are met.

  • Equipment Procurement & Logistics:
  • Coordinate with vendors to order, track, and manage delivery of car wash equipment, parts, and materials.

  • Manage inventory levels and maintain detailed records of orders and shipments.
  • Ensure correct equipment is delivered based on project plans and technical specifications.

  • Site & Vendor Communication:
  • Serve as liaison between construction teams, equipment suppliers, and internal departments.
  • Schedule equipment delivery and installation in alignment with site readiness.
  • Communicate and resolve on-site issues related to equipment delivery, missing parts, or installation delays.

  • Documentation & Reporting:
  • Maintain updated project documentation including equipment lists, shipping receipts, and installation checklists.
  • Generate status reports and update stakeholders on project progress and equipment timelines.

  • Quality & Compliance:
  • Verify compliance of delivered equipment with project specs and industry standards.
  • Coordinate inspections and equipment testing as needed prior to opening.

What you’ll bring to the team:

  • Proven experience in project coordination or logistics, preferably in the car wash, automotive, or construction industries.
  • Preferred bachelor’s degree in project management, Engineering Technology, Logistics, or related discipline
  • Knowledge of car wash equipment systems (e.g., tunnel, in-bay automatic, self-serve) is a strong plus.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office Suite and project management tools (e.g., CMMS, Smartsheet, Procore, or MS Project).
  • Ability to read and interpret site plans and equipment layouts.

Preferred Skills:

  • Basic understanding of plumbing, electrical, or mechanical systems related to car wash installations.
  • Experience working with OEMs and understanding equipment lead times.
  • Familiarity with permitting and inspection processes for commercial installations.
