Job Description

The Director of Operations is a senior leadership role responsible for overseeing the daily operations of Vision Realty & Management, ensuring that all departments function efficiently and meet organizational goals. This role includes direct oversight of the Property Management, Maintenance, and Turns teams. The Director of Operations ensures that properties are well-maintained, leasing processes run smoothly, and that tenant satisfaction and owner relations are maintained at the highest standards.

Property management experience is not required, but a background in operations, people leadership, and a relentless attitude to win is strongly preferred. This person will be preferably located in Carrollton or within <45 minute drive from the Carrollton office (but is not expected to be in office everyday).

🔑 Key Responsibilities:

  • Leadership and Team Oversight: Lead and manage the Property Management, Maintenance, and Turns teams, providing strategic direction, mentorship, and performance management to ensure the teams are operating at peak efficiency.
  • Operational Strategy: Develop and implement strategies to improve operational workflows, increase profitability, and ensure that properties are well-maintained, leased, and efficiently managed.
  • Maintenance and Turns Management: Oversee the Maintenance and Turns teams to ensure timely property repairs, preventive maintenance, and apartment/unit turns between tenants. Ensure that maintenance tasks are completed efficiently and up to company standards.
  • Cross-Departmental Collaboration: Work closely with the leasing, marketing, and property management teams to ensure seamless collaboration across departments. Ensure that all teams are aligned on property goals, timelines, and service delivery.
  • Budget and Financial Oversight: Manage and monitor operational budgets for maintenance, repairs, and other property-related expenses. Ensure that spending is within budget and identify areas for cost reduction without compromising quality.
  • Vendor Management: Establish and maintain relationships with vendors, contractors, and service providers to ensure high-quality and cost-effective services. Negotiate contracts and agreements to benefit the company.
  • Compliance and Risk Management: Ensure that all properties are compliant with local, state, and federal regulations. Develop and implement policies that mitigate operational risks and ensure adherence to legal and safety standards.
  • Owner and Investor Communication: Serve as a key point of contact for property owners and investors, providing regular updates on property performance, maintenance issues, and overall operational efficiency.
  • Performance Metrics: Track and analyze key performance indicators (KPIs) for operations, maintenance, and property management, ensuring that all teams meet or exceed targets related to tenant satisfaction, occupancy, and cost management.
  • Continuous Improvement: Drive process improvements and innovation across all operational aspects. Identify areas for optimization and implement new systems or procedures to enhance overall efficiency.

📍 Education and Experience:

  • Bachelor’s degree in business, operations management, real estate, or a related field.
  • Minimum of 5-7 years of experience in operations management, preferably within real estate, property management, or related industries.
  • Proven experience leading and managing diverse teams, including maintenance and property management personnel.
  • Strong knowledge of software (can learn specific industry software), maintenance tracking systems, and operational tools.
  • Excellent leadership, communication, and problem-solving skills. Ability to manage multiple projects, budgets, and teams simultaneously.

📆 Daily Tasks:

  • Oversee daily operations for the Maintenance and Turns teams, ensuring timely and quality work on all properties.
  • Review and approve maintenance work orders, ensuring that tasks are prioritized and completed efficiently.
  • Collaborate with the property management team to ensure alignment on leasing, maintenance, and tenant-related issues.
  • Monitor budgets and expenditures related to maintenance, repairs, and operational costs.
  • Communicate with property owners and investors, providing updates on property conditions, tenant turnover, and operational performance.
  • Lead regular meetings with direct reports to ensure clear communication of priorities and performance expectations.
  • Track and analyze operational KPIs, addressing any issues or underperformance areas.
  • Ensure compliance with local, state, and federal regulations, and company policies.
  • Manage vendor relationships, ensuring that contracts are fulfilled, and costs are controlled.
